How to use the Windows 10 Mail application to access Gmail, iCloud and more



There is absolutely nothing wrong with using Microsoft's standard Mail app in Windows 10. It is a built-in email client that supports Google, Yahoo, AOL, Apple iCloud, Microsoft Exchange, and other POP / IMAP email services. Considering that it is baked in Windows 10, you can rest assured that Microsoft will keep your messages secure and the app stable and reliable. We show you how to use the Windows 10 Mail app based on version 1809 (October 2018 update).

Add your first account

1. Click the Start button .
2nd Browse down the Start menu to locate and open the Mail app .

Note that if you use the Mail app continuously, you can staple it to the taskbar. This prevents you from hunting the app on the Start menu each time you want to check email.

Another option is to set up a certain email account for Start. For example, if you have multiple email accounts but only use one as your primary, such as Gmail, you can create a "shortcut" on the Start menu without fixing the Mail app:

1. With the Mail app open already right-click the account that you want to have attached to Start.

2. Click the gear icon at the bottom of the left panel to Open Settings .

3. In the drop-down menu, select Manage Accounts .

4. Select Add account .

5. Select a service on the following pop-up screen.

6. Enter your details in the following Add an account screen.
7th Click Log in when done.
8th Click Ready if successful.

Change accounts

2. Click on the gear icon at the bottom left to access Settings .

3. On the scroll menu, select Manage Accounts .
4th Select account you want to change.

There is also a shorter route to changing account settings. With the Mail app open, right-click the email account you want to change and select Account Settings .

5. Enter any custom name for the account.
6th Click the Change Mailbox Synchronization option .

This section controls how often the app checks mail, as it retrieves new content and other synchronization options. You can also change your password and server password here.

7. While remaining on the Synchronization Settings screen, scroll down and click Advanced Mailbox Settings . Additional settings will be displayed:

  • Incoming mail server
  • Outgoing mail server
  • Contacts server
  • Calendar server

Click Ready and then Save when you are done.

A password change note

From version 1809 there is no way to manually change your password for e-mail account in Windows 10. If Google or Yahoo requires you to update your password for password, there is no direct method for to change the same password in the Microsoft Mail app. Instead, you have two options:

  1. Remove the account and add it to the Mail app.
  2. Wait for the Mail app to fail when checking your account. When this happens you will see a yellow banner flashing over the app indicating that the account settings are outdated. Click the Fix account button and insert the new password on the following pop-up window.

Delete an account

3. On the scroll menu, select Manage Accounts .
4th Select account that you want to delete.

5. In the pop-up window, select Delete Account .

Snooze an account

If you need to temporarily disable automatic email retrieval on a particular account, you have two options.

2. Click the gear icon at the bottom of the left panel to Open Settings .

3. On the scroll menu, select Manage Accounts .
4th Select account you want to snooze.

5. In the pop-up window, select Change mailbox synchronization settings .

6. On Download New Email drop-down menu, select manually . It turns off automatic email retrieval but retains the emails you have already downloaded in the Mail app.
7th Another option is to turn off Email synchronization but this will list the account and you will not have access to the downloaded email.

General Use

1. To create a new message, select the source account and click New Mail .
2nd Select Format for text-based options such as italic, bold, and more in the new message window.
3rd The Insert option allows you to add files, images, links, emoji and tables.
4th The Draw option supports touch-based input, virtual pen widths, pen colors, and a drawing sheet.
5th Option allows you to set the e-mail to high priority When done, click Send the button in the upper right corner.

Add a signature

2. Click the gear mode icon at the bottom of the left panel to Open Settings .

3. On the settings roll panel, select Signature .

4. In the resulting window, select the source code email account using the signature.
5th Make sure Use a mail for send signature is blue (on).
6th Enter your custom text in the What-you-see-is-what-you-get field.

Based on Windows 10 version 1809, you cannot use HTML scripts as a signature. Instead, you must build a signature from the beginning. However, you can change the font's face and size, insert links and images.

7th If you want to use the same signature over all email accounts, check Apply to All Accounts .
8th Click the button Save .

Changing Messages

3. Select Notifications on the drop down panel.

4. In the drop-down messages, select the account you want to change.
5th Switch to or from View messages in the Action Center option .
6th Check or deselect banners, sounds, and folder messages .

If you simply want to turn off messages for a particular email account, click on the account in the Mail App accounts menu and select Turn off messages . Repeat this set to enable messages.

Enable / disable grouped conversations

"Conversation" is a grouping mechanism that squeezes all email messages originating from a specific topic into a long meddelandegänga. 4th Select a compatible account .

6th If you turn on, you can set up an automatic response delivered within your organization.
7th Click Send replies outside my organization to enter a second message to everyone outside your organization.
8th Just click on Send the answers to my contact option unless you want strangers to know you are baking on a naked beach for the week.

Customize Mail app

5th Toggle between Light Dark and Windows mode.
6th Toggle between Spacious Medium and Compact folder and message spacing.
7th Switch to the function Background Information and select an image to fill the entire app window background. Click Browse to search for a custom image.

8. To collapse in the Accounts menu, click the three-line icon in the upper-left corner. This is perfect when you use the Mail app publicly. Click it again to expand the Accounts menu.

Change Reading Box

  • Enable or disable automatic opening next e-mail.
  • On the settings roll panel, select Reading Box . Determine when email is marked as read .
  • Switch to and from caret browsing . This has nothing to do with pastures for carrots. It is a cool feature that lets you move the cursor with the arrow keys in an email message and select text as a default document.
  • Disable and enable automatic downloads of external images and style formats.

Access iCloud email with 2-step security enabled

1. Log in to your Apple ID -account.
